The first maintenance request is easy to demonstrate. A tenant reports a leak, a ticket appears and somebody is assigned. The second message—asking what happened—is a better test of property-management software.

Follow the Conversation

Ask the supplier to demonstrate a request that needs an update, a photograph and a change of appointment. Check whether the tenant and the property team can see a consistent history. If staff must search email and messaging apps to reconstruct the conversation, the system has not removed the handoff problem.

Use fictional addresses and contact details during evaluation. Test the workflow from both sides, including the experience on an ordinary phone with a narrow screen.

Make Status Mean Something

A label such as In Progress is useful only when people understand it. Decide what each status means, who can change it and what the tenant is told. A request waiting for a part is different from one waiting for permission to enter a property.

Keep messages clear and specific. W3C's writing guidance offers practical principles for understandable headings and link text. W3C guidance on clear digital content In a property portal, a button labelled View Repair Appointment is more informative than an unexplained Click Here.

Include Contractors and Departing Staff

Check what information a contractor can access and how that access ends. Ask how the management team can review changes made to a request. The system should support the organisation's privacy and recordkeeping requirements; those requirements need a separate local assessment.

Also test a change of staff member. A colleague taking over a property should be able to understand open work without relying on the previous manager's personal inbox.

Compare the Cost of Daily Use

Look beyond the subscription fee. Consider the effort involved in importing records, training staff, correcting duplicates and exporting information if the service changes. Ask to see an export rather than accepting a promise.

A useful property platform helps people finish the conversation. The strongest demonstration ends with a resolved request, a clear record and a tenant who knows what happened.
